Writing a clear formal email
Objectifs d’apprentissage
Organize a formal email with an appropriate greeting, purpose and closing.
Use polite requests and concise paragraphs.
Introduction
A formal email should make its purpose clear while respecting the relationship between writer and recipient.
Cours
Use a meaningful subject line, a suitable greeting such as Dear Ms Karim, and an opening sentence that states the purpose. Organize details in short paragraphs. Use polite forms such as I would be grateful if you could… or Could you please… Avoid slang, emojis and unnecessary repetition. Close with Yours sincerely when the recipient is named, or an appropriate formal closing for the context, followed by your full name. Adapt the level of formality to the recipient and situation.
Exemples guidés
- Subject: Request for information about the science club. Dear Mr Ahmed, I am writing to ask about the schedule for the science club. Could you please tell me when the next meeting will take place? Thank you for your time. Yours sincerely, Sara El Amrani.
Exercices d’application
- Write a short email to a teacher asking for clarification about an assignment deadline.
Correction
Possible rewrite: “Could you please send me the details about the club? Thank you for your help.” A suitable email states the question clearly, gives enough context, and ends politely.
À retenir
Check audience, subject, greeting, purpose, paragraphing, polite wording and closing before sending.
